Returning to an event after approval
Book now remembers the event through registration. Site and group approvals do not reserve a ticket. Use the return email or My bookings to finish booking once approved. The preview only demonstrates the booking step.
Site administrators configure manual registration approval in AIOS. Group organisers manage membership requests in BuddyBoss. Public groups permit automatic joining; private group events remain private.
Save, Preview and Publish are available in the sticky bar on the event editor. Click a section heading to open or close it. Reuse reminders by saving an event as a reusable event template, or duplicating that event.
A LITTLE HELP, EVERY STEP
Your events handbook
From your first idea to welcoming people on the day.
Become an organiser
Open Events and choose Create an event. If you do not already have organiser access, the application appears. Select a group you belong to, or request a new one. Explain the events you want to run and submit your application. The site administrator reviews it.
Create your first event
Choose Create event. Select your group, add a title and introduction, then upload a wide banner with a useful image description. Complete each numbered section. Save as Draft until you are ready.
Style the description
Use the visual editor for headings, font sizes, colours, lists, links and alignment. The buttons above it insert agendas, speaker sections, FAQs, columns, images and buttons. Edit the inserted sample text. Preview the event, including its banner, before saving. Two column sections have visible outlines in the visual editor. The sign up button links directly to the booking section. The site font is inherited from your theme.
Save and edit a draft
Choose Draft in the Publish section, complete the required fields and select Save event. Reopen it from My events to continue editing. Save event also stores all your reminder changes. If another organiser saves first, reload to avoid overwriting their changes.
Set dates and recurring events
Choose a start, end and time zone. After saving, open Manage and choose a repeat interval and number of additional dates. Each occurrence is created as a draft with its own tickets and bookings. Review and publish each date. For monthly repeats, nonexistent dates are skipped.
Create tickets
Set the total event capacity and add ticket types. A price of zero means free admission. Each member can hold one place per event date. Paid tickets require the site administrator to enable payments. Prices shown to buyers include the platform fee when you choose to pass it on.
Ask registration questions
Add short text, paragraph, choice or checkbox questions. Mark only essential answers as required. Names and email addresses already come from membership. Avoid requesting information you do not need. Previous booking answers retain their original question wording.
Publish and get found
Select Public and searchable, then Publish now or schedule a publication time. The directory and event page become public and can be indexed by search engines. Indexing is not guaranteed or immediate. Events in private or hidden groups remain group member only.
Book and join a group
Visitors sign in or register, then join the organising group. If that group requires approval, they must wait for approval before booking. Members choose a ticket, answer required questions and agree to the event rules. Paid reservations expire if not paid in time.
Use waiting lists
If enabled, members can request a waiting list place when a ticket is full. Available places are offered in order to members waiting for that ticket type. Offers last up to 24 hours, or until booking closes. Members accept from My bookings. Expired offers pass to the next eligible member.
View tickets and attend
Open My bookings, then My ticket. Print the ticket or save it as a PDF using your browser. Add to calendar downloads an ICS invitation. A phone camera can read the QR code. An organiser signs in and selects Confirm check-in. The code alone never grants management access.
Manage attendees
Open an event’s Attendees screen. Search by name, email or booking number. Mark attendance, undo a mistaken check-in, resend a ticket, inspect form answers or export CSV. Exports contain personal information; share them only with people who need it for the event.
Promote another organiser
Open Organiser settings and enter the email of an existing group member. Make organiser grants BuddyBoss group organiser access as well as event management. Manage group members opens BuddyBoss’s membership controls for removal or demotion.
Delegate financial access
The lead organiser can grant another current group organiser access under Delegate financial access and revoke it later. That access includes payment refunds and the Stripe account dashboard. Stripe itself controls which identity and bank changes are allowed. The site administrator retains control.
Cancel a booking or an event
Members can cancel before the organiser’s deadline. Organisers can cancel places in Attendees. Cancel event stops admission and submits paid bookings for refund. Check for refund_pending records and resolve failed refunds. Cancelling a series can apply to all its future dates.
Leaving a group
Leaving, removal or a ban cancels upcoming event places. A cancelled place is no longer valid for admission. Paid bookings enter the refund process. Membership is checked again before admission.
Transfer a ticket
Before the event, an unscanned confirmed ticket can be transferred to another member of the same group who has no existing booking. The ticket code is replaced. For events with registration questions, the recipient accepts the transfer in My bookings and supplies their own answers within 24 hours or before the event starts. Refunds always return through the original payment.
Send reminders and announcements
Choose a number and days, hours or minutes before the event, such as 1 day or 2 hours. Add or remove reminders as needed. Welcome people warmly, describe what to bring, reassure anyone coming alone and invite questions. Include {event_details} and {ticket_link} in the message. Event title, dates, place and joining information are filled in at send time. Late bookings do not receive reminders from before they booked. Preview announcements by sending a test to yourself.
Understand email status
Queued messages await the scheduled task. Accepted means WordPress’s mail transport accepted the message; it does not prove delivery. Failed messages retry up to five times. Inspect FluentSMTP and AWS for bounces or delivery issues. Retry failed emails from the event management screen.
Fees and organiser money
Free events have no platform fee. The initial platform fee is 50p per paid ticket plus actual Stripe processing fees deducted from organiser proceeds. The administrator can change the platform fee. When configured and enabled, transfers run after the event and the configured delay. Stripe verification, fund availability, refunds and disputes can prevent a transfer. A transfer to Stripe is distinct from arrival in your bank.
Share an event on social media
Open a published public event and choose Share. Select landscape, square or story format. Copy and edit the caption, download the branded image and upload both in your social media app. On supported devices, Share using this device opens the native sharing menu. Instagram captions do not provide a clickable booking link; use a bio link or story link sticker. Private group events cannot be shared through this tool.
Rules and responsibilities
Organisers must describe events accurately, provide accessibility details, respect members, protect attendee information and honour the published cancellation policy. Do not publish private attendee information or private joining links in event descriptions. Report concerns from the event page. The site administrator may suspend organiser access and cancel events.
Terms and privacy
Event terms are awaiting configuration by the site administrator.
